Photobooth Agreement

Deposit and Payment

A 50% deposit is required upon signing this agreement to secure your event date and times. This deposit will be credited toward your total balance.

Refund Policy: The deposit is fully refundable if the event is cancelled more than 60 days prior to the event date. If cancelled 60 days or less prior to the event, the deposit is strictly non-refundable.Balance DueThe remaining balance must be paid in full before photo booth services begin.

Acceptable Payment Methods: We accept cash, cheques, and E-transfer. Make all cheques payable to Ivy Studios. A $50 fee will be applied to any and all returned cheques.

Overtime & Additional Hours: If you would like to extend your rental beyond the agreed-upon hours, payment for any time overage must be paid before the additional hours are provided.

Operations

Ivy Studios commits to keeping the photo booth running for the allotted amount of time, but occasionally maintenance, repairs, and/or photography optimizations may require an interruption in business. To maintain and run the photo booth, Ivy Studios consents to send a trained technician on-site. The sole recourse available to the client is a reimbursement of the money paid if Ivy Studios is unable to deliver a fully functional photo booth by the scheduled hours. Client acknowledges that Ivy Studios will not be responsible for subsequent damages. The rental fees will be prorated if circumstances beyond our reasonable control prevent us from providing all services.

Setup and Teardown

The photo booth will be set up and taken down at the event site by Ivy Studios. The photo booth's operating hours may be changed if the customer or the event site concludes earlier than the agreed-upon end time; nevertheless, there will be no reimbursement. The location where the photo booth will be set up has flat ground and is easily accessible; setup area must be reasonably accessible via a level path with no stairs, unless an elevator or ramp is available. The location must be accessible to Ivy Studios for setup and breakdown at least 60-90 minutes prior to the event and 30-45 minutes following it.

Space and Placement Requirements

Client agrees to provide at least (1) A minimum 8’ x 8’ area for our photo booth, 110V, 20 amps and standard electrical outlet within 20 feet of our designated area.

Inclement Weather

​

Ivy Studios reserves the right, in good faith, to cease the operation should the weather pose a potential danger to our personnel, the equipment, or guests. Since safety is paramount in all decisions, Ivy Studios compensation will not be affected if operation is ended.

Limitation of Liability & Indemnification

​

Ivy Studios shall not be liable for any direct, indirect, incidental, or consequential damages (such as lost profits or increased expenses) related to the provided services. The Client will indemnify and hold harmless Ivy Studios and its independent photo booth attendants against any liabilities related to the event, and will assume responsibility for legal fees in third-party claims. This indemnification applies unless the loss or damage was caused by the fault or gross negligence of Ivy Studios.

Damage to Equipment

The Client is only financially responsible for damage, loss, or theft of the Ivy Studios equipment if the incident occurs due to: a) Misuse, abuse, or negligence of the equipment by the Client or their guests (e.g., spilled drinks, cigarette burns, or rough handling).b) The equipment being stolen during the event. c) Damage resulting from intentional misuse of the venue's power, or power surges caused by equipment brought by the client/guests. The Client will not be held financially responsible for equipment damage or software loss caused by an uncontrollable natural disaster (including but not limited to structural fire, flood, or earthquake).

Model Release

The Client acknowledges and agrees that photos and videos taken at the event may be posted online or used for advertising by Ivy Studios. The Client assumes responsibility for notifying their guests that images captured in the photo booth may be used for promotional, advertising, or marketing purposes. All photo booth users grant Ivy Studios the right and permission to copyright, use, and publish their images in any media.
